Depending on how you interact with us, we may process:

• Client & project data — company details and the specifications of print and media jobs you ask us to manage.
• Vendor data — business contact details of printers and suppliers in our network.
• Communications — the content of emails, and (where applicable) recordings, transcripts, and notes of phone calls made or received through our system.
• Technical data — limited information such as your session and, only with your consent, analytics about how the site is used.

We use personal data to:

• provide the portal and manage secure sign-in;
• request, compare, and manage vendor quotes on behalf of clients;
• communicate with clients and vendors and keep an accurate record of those exchanges;
• maintain the security and integrity of our systems; and
• meet our legal and regulatory obligations.

Our lawful bases (under the UK/EU GDPR) are the performance of a contract, our legitimate interests in running a print procurement service, your consent (for non-essential cookies), and compliance with legal obligations.

We use artificial intelligence (AI) tools to help us work efficiently — for example, to transcribe phone calls and to generate short summaries, notes, and follow-up tasks from communications. This helps ensure nothing is missed when we manage your work.

AI-generated summaries are used to support our team and are always reviewed by a person before any decision is acted on — we do not make solely automated decisions that produce legal or similarly significant effects about you. Communications processed this way are handled with the same confidentiality as all other data covered by this policy.

We use a small number of strictly necessary cookies that keep the portal secure and remember your signed-in session. These are required for the service to work and cannot be switched off.

With your consent, we may also use analytics cookies to understand how the site is used so we can improve it.
